What we collect,
and what we never do.

1. Who we are

Ontiqo Pty Ltd ("Ontiqo", "we", "us") publishes the Ontiqo program and operates the website at ontiqo.com. We are an Australian company and we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Where you are outside Australia, we also aim to meet the reasonable expectations of your own privacy law, including the GDPR and the UK GDPR where they apply.

2. The program: your files stay on your machine

The Ontiqo program reads the files and locations you point it at, on your own computer. All reading, understanding, indexing, searching and organising happens locally. The content of your files is never transmitted to us, and we have no means of accessing it. This is not a policy setting that could be changed by configuration; it is how the program is built, and it is also a term of the End User Licence Agreement shown inside the program.

The program has no user account, and it sends us no usage analytics, crash reports or telemetry. It makes outbound network connections only in the following cases, each of which you can see and control:

• Connected cloud storage. If you connect a cloud storage account so the program can read files held there, the program talks directly to that provider, using a sign-in that the provider itself performs. We do not receive your password, and the traffic is between your computer and the provider under the provider's own terms and privacy policy.
• Optional lookups. Some optional features can consult public reference services — for example to identify an unusual file type or a published book or recording. Each is off until you switch it on, and the program states, beside each switch, exactly what would be sent. Typically that is a short identifier such as a file extension or a catalogue number, never file content.
• Licence activation (paid edition only). Activating a work licence sends the licence key and a machine identifier to our licensing service, which is operated for us by Lemon Squeezy (see section 5), so the key can be checked and the activation recorded against the number of computers it covers. The program rechecks the licence from time to time. No file content and no information about your files is sent at activation or at any recheck. Personal use requires no key, no activation and no connection to us at all.
• Downloading the program itself, and any optional component you choose to fetch after installing.

The program stores what it learns about your files — its index — on your own computer, alongside the program. Removing the program removes the index. The undo record the program writes when you commit a reorganisation is stored in your own Documents folder and belongs to you.

3. The website: what ontiqo.com collects

Visiting ontiqo.com collects the ordinary minimum a website needs, and nothing that identifies you personally unless you choose to give it to us:

• Server and edge logs. The site is served through Cloudflare, which records standard request data (IP address, requested page, browser type, referring page, timestamps) to deliver the site and protect it from abuse. Cloudflare's own privacy policy governs its processing.
• Visitor analytics. We use Cloudflare Web Analytics to see aggregate visitor counts, the pages viewed, the countries visitors come from and the sites that referred them. It is privacy-preserving by design: it does not use cookies, does not fingerprint devices, and does not track you across other sites. It is not loaded on the licence-key page.
• Your theme preference. If you switch between the light and dark theme, the choice is remembered in your browser's local storage. It is stored only on your device and is never sent to us.
• No advertising or tracking cookies. We set none, and we do not sell, rent or share visitor data with advertisers or data brokers.

4. Information you send us

• Support tickets and email. If you send a support ticket or email us at support@ontiqo.com, we receive your email address, whatever you write, and the topic you chose. We use it to answer you and to fix what you reported, we keep it as long as it is useful for that purpose, and we do not use it for marketing or share it with anyone else. Please do not send us the contents of your files; a description is as good as the file.
• Release notification. If you email asking to be told when Ontiqo is released, we keep your address for that one purpose, send that one email, and will delete the address if you ask.

5. Purchases and licences

Purchases of a work licence are handled by Lemon Squeezy (Lemon Squeezy LLC), acting as merchant of record. Lemon Squeezy takes your payment, issues your receipt and invoice, and stores your payment details; we do not receive or store card numbers. From a purchase we receive your name, email address, country, the licence purchased and the licence key issued, which we keep for as long as the licence is valid and for as long afterwards as tax and accounting law requires. Lemon Squeezy's processing is governed by its own privacy policy. Licence activations (see section 2) are recorded against your licence key so that the number of covered computers can be enforced.

6. Who else sees information

We use a small number of service providers to operate the website and the licensing service: Cloudflare (hosting, delivery, security and analytics), Lemon Squeezy (payments and licensing) and our email provider (support mail). Each processes information only to provide its service to us. We do not sell personal information, and we disclose it otherwise only where the law requires it or to protect our rights or someone's safety.

Some of these providers process information outside Australia, including in the United States and the European Union. Where that happens we rely on the provider's own commitments and safeguards for the transfer.

7. Security

The website is served over HTTPS with strict security headers. The licence-key page is never cached and never indexed. Support mail and licence records are held in access-controlled services. No system is perfectly secure, and the strongest protection in Ontiqo's design is that the most sensitive thing — your files — never leaves your computer in the first place.

8. Your rights and choices

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing support@ontiqo.com. We will respond within a reasonable time and, where the law gives you a right, we will honour it. If you are in the EU, UK or another jurisdiction with data protection rights (access, rectification, erasure, restriction, portability, objection), you can exercise them the same way. If you are unhappy with our response you may complain to the Office of the Australian Information Commissioner (oaic.gov.au) or your local supervisory authority.

You can use the program without giving us any information at all: personal use needs no account, no key and no contact with us.

9. Children

The website and program are not directed at children under 16, and we do not knowingly collect personal information from them. If you believe a child has sent us personal information, contact us and we will delete it.

10. Changes to this policy

If we change this policy we will change the version and date at the top of it and, for any change that matters, say so plainly on this page. The current version is always at ontiqo.com/privacy.

11. The program's licence agreement

The Ontiqo program is licensed under an End User Licence Agreement that is shown inside the program and must be accepted before use. It contains the program's own privacy commitments in binding form, including that file content is processed only on your computer and is not transmitted to us. Where this policy and that agreement describe the same thing, the agreement governs the program.
